In order to provide the Platform and Services, Cognum collects certain information about our users. This includes:
Account Information: We collect names, usernames, email addresses, phone numbers, billing information, and other information required to create user accounts.
Usage Data: We collect data about Users’ interactions with the Platform and Services, such as content viewed or created, features used, and other analytics to improve our offerings.
AI Employee Data: We collect and process data input to or generated by AI Employees through their use in the Platform. This is used to train, improve and optimize our AI models.
Communications: If you contact us directly, we may collect information from your communications with us, such as email addresses and phone numbers.
Information We Don’t Collect
Cognum does not knowingly collect or process any personal data from children under 16 years of age. If we learn that we have collected data from a child under 16, we will delete that data.
How We Use Information
Cognum uses collected information in the following ways:
To provide, operate, optimize, and maintain the Platform and Services.
To improve the Platform and Services by adding new features, functionality and personalization.
To monitor and analyze trends and usage for the Platform and Services.
To communicate with Users for account management, customer service, technical notices, updates, security alerts, and other relevant purposes.
To comply with applicable legal obligations and requirements.
For other purposes disclosed at the time information is collected or with User consent.
Sharing of Information
Cognum does not disclose personal information to third parties except as outlined below:
To service providers under contract who help with parts of our business operations such as billing, technical support, etc.
To law enforcement or government authorities if required by law or regulation.
If needed in connection with a merger, sale, or acquisition of part or all of Cognum’s business.
Other scenarios with User consent.
Cognum does not sell personal information to third parties. We do not disclose AI Employee data to any third parties except to provide the Platform and Services.
Data Security
Cognum employs suitable technical and organizational measures to ensure the security of user data. This includes encrypting data both when transmitted and stored, enforcing strict access controls, and adhering to rigorous internal data security policies. These measures are designed to protect user data from unauthorized access, disclosure, alteration, or destruction, thereby aligning with the associated risks of processing personal information.
Data Retention
Cognum will retain user personal information as long as required to provide the Platform and Services or as required by law. If an account is deactivated, personal information associated with that account will generally be deleted within 30 days.Account Information will be retained until the account is deleted. Usage Data is retained for 6 months. AI Employee data is retained until the associated account is deleted. Communications with Cognum are retained for 3 years. Data may be retained for longer periods if required by law.
International Data Transfers
We may transfer the personal information we collect to countries other than the country in which the data was originally collected. When we transfer your personal information to other countries, we will protect the data as described in this Privacy Policy and comply with applicable legal requirements providing adequate protection for the transfer of personal information to countries outside of the EEA or the United States.

Our Platform may contain links to third-party websites or services. While we strive to provide only quality links, we have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.
